This Privacy Policy explains how MateInvoice (“we”, “us”, “our”) collects, uses, stores and protects your information when you use the MateInvoice web and mobile application and website (the “Service”). By using the Service you agree to this policy.
1. Information we collect
- Account details — your name, email address, business name, ABN, address, contact details and logo.
- Business content you enter — clients, quotes, invoices, items, projects, costs and related records.
- Payment information — subscription payments are processed by Stripe. We do not see or store your full card number. If you connect your own Stripe account to accept customer payments, that connection is governed by Stripe’s terms.
- Technical data — login tokens (stored in your browser), and basic usage/analytics on our marketing website (Google Analytics).
2. How we use your information
- To provide and operate the Service (create and share quotes/invoices, reports, payments).
- To bill your subscription and provide support.
- To secure your account (e.g. two-factor authentication, email verification).
- To improve the Service.
3. AI features
Some optional features (e.g. quote drafting, payment-reminder wording, cost categorisation) send the relevant text you provide to an AI service (Microsoft Azure OpenAI) to generate a suggestion. Only the content needed for that feature is sent, and it is used to produce your result — not to train third-party models.
4. Where your data is stored
Your data is hosted on Microsoft Azure in Australia. Data is encrypted in transit (HTTPS) and at rest. We use trusted processors including Microsoft Azure (hosting), Stripe (payments), and an email provider for account emails.
5. Sharing
We do not sell your personal information. We share it only with the processors above to run the Service, or where required by law. Quotes and invoices you choose to share are accessible via a private link you send to your customer.
6. Data retention
We keep your data while your account is active. Financial records may be retained to meet Australian record-keeping obligations (generally five years). You can request deletion of your account and data (subject to those obligations) by contacting us.
7. Your rights
You may access, correct, export or request deletion of your personal information. Contact us at the email below and we’ll respond within a reasonable time.
8. Cookies & local storage
The app uses browser local storage to keep you signed in. Our marketing website uses cookies for basic analytics. You can clear these in your browser at any time.
9. Children
The Service is for businesses and is not directed to anyone under 18.
10. Changes
We may update this policy. Material changes will be posted here with a new “last updated” date.
