How to get your invoices paid faster: 7 tips for Aussie tradies

22 July 2026 · The MateInvoice Team

Chasing money is the worst part of running a trade business. You've done the work, the customer's happy — but the invoice sits there for weeks. Here are seven things that genuinely move the needle on getting paid faster.

1. Invoice the moment the job is done

The single biggest factor in how fast you get paid is how fast you send the invoice. An invoice sent the day you finish gets paid far quicker than one sent a fortnight later. The job is fresh in the customer's mind and the value is obvious. With an app on your phone you can invoice from the ute before you've even left the driveway.

2. Make your payment terms crystal clear

"Payment on completion" or "Net 7 days" should be right on the invoice, in plain English. If a customer doesn't know when payment is due, they'll assume it's whenever suits them. Shorter terms (7 days) get paid faster than 30-day terms — don't default to 30 just because that's what everyone does.

3. Take a deposit on bigger jobs

For anything sizeable, ask for a deposit up front — 10–50% depending on the work and materials. It protects your cashflow, covers your materials, and filters out time-wasters. A customer who won't pay a deposit is often the one who won't pay the final invoice either.

4. Send a professional, itemised invoice

A tidy, itemised tax invoice with your logo, ABN and a clear total gets taken more seriously than a scribbled total on a text message. It also removes "what's this for?" queries that delay payment. Make sure it has everything the ATO requires (see our guide on what to put on a tax invoice).

5. Offer easy ways to pay

The easier it is to pay, the faster you'll get paid. Put your bank details clearly on every invoice. The fewer hoops between the customer and paying you, the better.

6. Send friendly reminders — automatically

Most late payments aren't malicious; people just forget. A polite reminder a day or two after the due date clears most of them. The trick is to actually send them consistently, which is where automation helps — a good invoicing app can draft the reminder for you so it takes one tap, not a stressful phone call.

7. Keep a clear record of what's outstanding

You can't chase what you can't see. A simple dashboard showing who owes what, and how overdue it is, means nothing slips through the cracks. When you know an invoice is 10 days late, you can act — instead of finding out two months later when you're short for materials.

The bottom line

Getting paid faster isn't about being pushy — it's about being organised. Invoice immediately, be clear about terms, make paying easy, and follow up consistently. Do those and you'll spend a lot less time worrying about money and a lot more time on the tools.
